The Office of Healthcare Compliance (Compliance Office) is responsible for ensuring that the Institution implements and maintains an effective compliance program that includes:
Written standards of conduct and policy
A dedicated Compliance Officer and oversight Committee
Regular training of employees
A process to receive complaints
Audits to monitor compliance
Investigation process for identified concerns
Enforcement of standards and remediation of validated allegations
The Compliance Office utilizes external vendors to conduct reviews of clinical documentation and billing to help ensure accuracy and provide education to continually improve. The Temporary Compliance Review Coordinator should be experienced organizing and managing large projects with high-quality outcomes and within set time parameters. This position will be instrumental within the Compliance Office and broader institution, as we strive to continually improve the effectiveness of our compliance program. The position will functionally report to the Compliance Officer, Adult Enterprise , but will work directly with leadership and other compliance officers throughout VUMC to identify areas for improvement and establish best practices that adhere to VUMC policy.
Execution of Audit Plan. The annual Audit Plan will be prepared by Compliance Office leadership and approved by the Compliance Committee. The Temporary Compliance Review Coordinator will execute the areas of the Audit Plan that are delineated to them. Which will include: preparing and/or sending Notice of Upcoming Audit communications to clinicians and leaders; preparing documents to cause claims to be eligible for selection; selecting audit samples in electronic health record/billing systems; notification of audit samples to vendors; reviewing reports received from vendors for consistent use of standard review language; maintaining documentation of audits; maintaining job controls to help ensure all clinicians receive audits within prescribed time frames; preparing and/or issuing audit results to clinicians; assisting with scheduling of in-house Compliance Consultant Resources to meet with clinicians for education sessions, as required; other duties relating to execution of Audit Plan.
Audit History and Follow-Up. Work with Vendors as necessary to establish and maintain comprehensive and secure testing history database and analyze history to trend performance. Work with Compliance Office personnel to ensure follow-up or extended testing is performed, when required, to ensure proper remediation, and identify future areas for potential review.
Project Management. Prepare routine reports related to the status of the Audit Plan and ensure any obstacles to success are reported to Compliance Office leadership timely.
Collaboration. Facilitate open and positive communication between the Compliance Office, clinical and support departments, and VUMC leaders to support timely and consistent application of standards, thereby minimizing regulatory risk and maximizing efficiency.
The Temporary Compliance Review Coordinator will execute the daily activities required to meet the established and approved Audit Plan and will coordinate those efforts with the internal team of Compliance Audit Consultants. The ideal candidate will demonstrate leadership skills in taking responsibility to complete assigned ongoing tasks; prioritizing adhoc requests; and identifying, recommending, and gaining buy-in around key improvement opportunities. The ideal candidate will also possess excellent communication (verbal and written) and will have the ability to work productively with an in-house and remote team.
Managing the audit projects as described above (conducting internal activities and ensuring clear communication with vendors as to availability of audit samples and expectations on timing of completion, etc.).
Collaborating with vendors, Compliance Office personnel and leaders across the institution to help ensure an effective audit and monitoring function.
Reporting to Compliance Office leaders and others as to status of the Audit Plan.
