Arbour Hospital is a 136-bed private psychiatric facility located in Boston's Jamaica Plain neighborhood. The hospital specializes in adult mental health treatment, adolescent and dual diagnosis services. Other services include partial hospitalization programs (PHP) and outpatient treatment.
Arbour Hospital is seeking a dynamic and talented Intake Coordinator/Call Center Registered Nurse. This is a full-time, 40 hour per week, including every Sunday, benefit eligible position.
Arbour Health System (AHS) Intake Coordinator/Call Center RN are responsible for working collaboratively in the centralized call center responding to inpatient, PHP/IOP and ECT referral requests from clinicians, patients, family members, managed care company staff, and others. Intake Coordinators must answer calls entering the queue (or coming in on direct extensions) and process demographic, clinical and insurance information in a manner consistent with service excellence and that ensures efficient and effective call processing, leading to a patient admission to an AHS program or providing appropriate information to caller. The Intake Coordinator/RN is an adjunct to the department and is available as an immediate resource to non- clinical staff to assist them in ensuring appropriate medical screening in order to facilitate timely and expedited placement of patients within Arbour Hospital facilities who meet admission guideless.
Key Responsibilities include:
1. Promptly logging into call center queue to be availability to accept incoming calls 2. Completing an intake call sheet on all referrals including for inpatient, PHP and ECT as appropriate for the position 3. Gathering all necessary demographic, clinical and financial information on call sheet. Ensures information is accurate and complete as call sheet is transmitted to hospital clinical and business office staff. Requests evaluation from ESP/ED/Referrer as appropriate. 4. Ensures verification of insurance eligibility and benefits including primary and secondary payors. 5. In a timely manner, notifies the Nursing Supervisor or Evaluation Services of impending evaluations (referred to as "eval and call"). Follows up in a timely manner to assure information received and updates on status from hospital staff. 6. Sending completed call sheets and insurance verification/authorization Nursing Supervisor, Evaluation Services, and Business office. 7. Maintaining accurate, up-to-date AHS bed availability including update hospital staff of pending admissions or cancellations 8. Contacting the CEO when a review is necessary 9. Updating external bedboard on regular basis. 10. Adhering to department procedures related to waitlisted patients, transferring cases. 11. Schedules PHP/IOP/ECT intake appointments by completing PHP intake call sheets and scheduling appointments for all AHS PHP/IOP programs and forwarding ECT call sheets to program as per protocol. 12. Assist in training new staff as requested.
