Your Role :
This role will provide administrative support with Human Resource activities within VICC. It will respond to customer needs by consulting with others as appropriate or by following established department, center or institute guidelines. The position is responsible for organizing flow of daily operations to ensure service priorities are met. Responsible for VICC front desk duties, including phone coverage for Executive Leadership
Accountable for conference room scheduling via Outlook (8 located in the Preston Research Building)
Assists with conference room set-up and break down
Support Administrative Officer and Administrative Manager in various tasks, including calendar management, obtaining signatures, etc.
Processing internal payments, i.e. check requests, 1180's, etc
Responsible for purchases across VICC with Vanderbilt P-Card
Managing inventory and purchasing/ordering supplies for multiple cost centers
Maintaining departmental electronic personnel files and shared drive by scanning, indexing, organizing, etc.
Tracking time off requests, including FMLA correspondence
Assists with onboarding activities, i.e. escorting new staff, assigning new pagers, paperwork, etc.
Directory Responsible Person in Peoplefinder
Reports copy machine readings and point of contact for service requests
Composing/drafting correspondence for administrator's signature
Serve as backup for coordinating complex and varied travel arrangements, which may include meeting planning
Serve as a courier across several buildings in VICC to ensure paper workflow, including sorting of mail, paycheck distribution, etc.
Assists with operational needs, i.e. work orders, key inventory and distribution, building access, etc.
Coordinating employee appreciation events such as birthday celebrations, service award celebration events and creating invites for VICC events
